Organizer getting started

Browse guides

Start in Admin to manage your organization, team, and events. Your role determines which actions are available. For the full sequence from draft to admissions, use the event launch checklist.

Sign in to the right organization

Sign in to your organization's QueueKat site. Accounts and staff access are separate between organizations; access on one site does not grant access to another.

Know your role

Open Admin to reach the organization workspace. Your role determines which sections and actions are available.

Focus this table and use the arrow keys or horizontal scrolling to see all columns.

Role What the role can do
Owner Same access as Admin. The organization must always have at least one Owner.
Admin Manage organization settings, events and the team; view event activity and metrics; operate events.
Staff View events and activity, and operate events. Staff cannot manage settings or the team, or view metrics.

Owners and Admins currently have the same permissions. Only they can create or publish events, change event setup, manage team membership, change branding, pause or resume bookings, close an event or archive it. Staff can help run an event, including sending summons and using the scanner, but cannot make those management changes.

Start with your organization

From Admin, use Team to invite people and choose a role. Keep at least one Owner.

Use Settings to maintain your organization's name, default timezone, support email, public front page, appearance and email appearance. The web address for your organization's QueueKat site is shown there but is platform-managed, not an organizer setting. A default timezone affects new events only; it does not change events already created.

Create and prepare events

An event starts as a draft visible only to staff. Set its name, location, timezone and door times, then complete the attendee information and arrival windows in Setup. Review the attendee-page preview before publishing.

Publishing opens event bookings; it does not summon any attendees or start event admissions. Once published, the event's timezone, door times and arrival-window start and end times are locked. See the event launch checklist for the settings to review before you publish.

Keep messages distinct

Notifications controls wording and settings for automatic messages such as booking confirmations and reminders. Preview a template before saving; edits apply to new notifications, not messages already created.

Send message is a separate, one-time message to a selected group of attendees. Review its audience and preview, then explicitly send it. The reviewed count is approximate, the audience is selected again when you send, and a queued message does not prove delivery.

Choose the right event control

Pause bookings stops new bookings and waitlist joins; it does not remove existing bookings or stop staff or automatic summons for people already in the event. Close waitlist permanently ends waiting and new waitlist offers, but does not close the event or invalidate passes already issued to summoned attendees.

Close event is permanent: admission ends and passes and outstanding offers become invalid. Archive event is different: it hides the event from attendees and disables bookings, passes, releases and messages while retaining history and settings. Restoring an archived event returns it to its existing lifecycle state; it does not undo a permanent closure. The launch checklist explains the consequences before you use either action.

Request a change to your site's address

The Web address shown in Settings → General is managed by QueueKat and cannot be changed in the organizer workspace. To request a custom domain, ask your QueueKat platform administrator and provide the domain name you want to use. Your organization must configure a DNS CNAME as directed; a platform administrator must save and verify the domain before it becomes active. There is no domain-change request form in Admin.
